Log a meeting in Zoho CRM

For anyone who leaves meetings with notes and promises: the agent files them in Zoho CRM as a note, tasks and a stage change, each one approved.

The meeting went well, and now there are notes in a notebook, three promises made and nothing yet in Zoho CRM. In this recipe you paste or dictate your notes, and the agent files them on the right record and turns the promises into CRM tasks with due dates. You approve each change.

What you need

1. Open the record, and hand over the notes

Open the contact, account or deal in Zoho CRM in the chat’s browser panel, then paste your notes:

Log this meeting on this deal as a tidy note. Then make a task for each thing I promised, due when I said, and change the deal stage to Negotiation/Review.

2. Approve what it files

The agent writes a clean note from your rough one and proposes each task and the stage change. Every change to CRM is confirmed by you, one at a time. For a field, the question shows the field, the value it holds now and the new one. Notes and tasks can set off your organisation’s own Zoho workflow rules, just as if you had made them yourself.

3. Follow up by mail

With Mail open in the same chat, ask for the follow-up email: “Write the thank-you with the next steps we agreed”. It opens a filled-in message for you to read and send.

Where this recipe stops

  • Three kinds of change, nothing more. The agent can add a note, change one field at a time and create a task. It never deletes, merges or bulk-edits records.
  • Simple fields only. Lookups, formula fields and owners are changed in Zoho CRM itself. If the record changed since the agent read it, the change is refused and nothing is written.
  • Tasks are yours. Tasks are created for you, the signed-in person. Assigning one to a colleague is done in Zoho CRM.
